Gifts for the Friend Who Organises Everything

Every group has one: the friend who books the tickets, chases the payments and remembers the birthdays. Nobody organises anything for them. How to change that.

Every friend group has one. They make the spreadsheet for the Goa trip, book the train tickets at exactly 10:00 in the morning, chase everyone for their share, remember whose birthday is next and set up the group chat for the surprise. Without them, the group would still be talking about the trip it never took.

And here is the odd thing: nobody ever organises anything for them. The group’s gifts are arranged by the organiser, so the organiser’s own birthday has nobody arranging it. They are also missing from half the trip photographs, because they were the one holding the phone, or at the counter sorting out the booking.

That is easy to fix, and it makes one of the best gifts a group can give.

The one rule: they must not organise their own gift

It sounds obvious. It is surprisingly hard, because the organiser notices everything — a quiet group chat, a sudden request for photographs, three people suddenly “busy” on the same Saturday. Someone else has to take the role, and do it properly.

Start a separate chat without them, and give it a dull name.

Pick one person to run it — collecting the photographs, placing the order, handling the money. One person, not the whole group, or it leaks.

Collect the money last, once the gift is ordered and the price is known. Asking for money first is how groups stall. How to split a group gift fairly →

Have a cover story ready for why you need photographs of them: “for someone’s wedding slideshow” is a believable one.

Six gifts that work

1. A book of everything they made happen

Every trip, every dinner, every reunion that happened because they sent the first message. Collect photographs from everyone, and specifically ask for the ones with the organiser in them — they are rarer than you think. Then caption each one with what they did: “Manali, 2023. This happened because you booked the bus at 11 pm and refused to let us cancel.”

It is a thank-you in the form of the group’s own history. A magazine of 16 to 24 pages usually holds it, from ₹599 to ₹699. One book, many contributors →

2. A trip they do not have to plan

A day out or a weekend away, planned entirely by the group, with the organiser told only when to be ready and what to wear. For someone who plans everything, not having to plan is the gift. The hard part is resisting their questions.

3. The receipts, in a deck

A 27-card deck of the things they organised: a photograph on each card and a caption with the date and the damage — “The Jaipur trip, 14 people, one broken suitcase, zero cancellations”. It is funny, it is specific, and it fits in a pocket. ₹999. The Photo Card Deck →

4. A line from everyone

Ask each person for one sentence about a time the organiser saved the day. Set them as pages in the book, or trim each to a few words and use them as captions on a set of thirty prints. The words are what they will reread.

5. A diary for the next plan

Organisers love a planner. A Photo Diary with a group photograph on the cover, the trip photographs in spreads at the front, and lined writing pages after — undated, so it can hold lists, bookings and next year’s trip. From ₹699. Give it alongside a thank-you, not instead of one. The Photo Diary →

6. Thirty moments for the wall

Thirty polaroid-style prints from the trips they organised, each with a one-line caption, for their wall or desk. ₹270 for thirty — the cheapest option here, and one of the most seen. Custom polaroid prints →

Finding photographs of the organiser

This is where most versions of this gift get stuck. The organiser is in the fewest photographs, because they were holding the phone, standing at the counter, or walking ahead to find the restaurant. Look in the places nobody checks:

The group chat’s own media. Scroll back through the trip weeks; somebody always sent a candid of them arguing with a cab driver.

The background of other people’s photographs. A sharp crop of them from the corner of a group shot can work, if the original is large enough to hold up in print.

The screenshots. The booking confirmation, the spreadsheet, the poll they made everyone answer. Printed small, these are some of the funniest things in the book. Printing screenshots and chat threads →

A dinner before you order. If they are still short, get the group together on some other pretext, make sure someone else holds the phone, and use the best shot on the last page.

What to write under the photographs

The captions make this gift, and they are easy to write because every trip comes with a story about how it nearly did not happen. A few that work:

  • “Coorg, 2022. Six people, one car, and a route you printed out because nobody trusted the maps.”
  • “The reunion you arranged across four cities and three time zones of excuses.”
  • “The birthday dinner nobody asked you to plan — and it was perfect.”
  • “₹3,400 recovered from people who ‘forgot’ to pay. Every rupee.”

Specific, a little teasing, always affectionate. Keep each to a line or two. How to write a caption that lands →

If the organiser is at work

Offices have one too: the colleague who arranges the birthday cakes, the farewell card and the team lunch. The same gift works on a smaller scale — thirty prints of the team moments they made happen, or a short magazine from the whole team — given at their own birthday or when they move on. What it costs, split across the group

With eight friends and the flat ₹70 delivery added in:

Gift Total with delivery Each, across eight
Thirty captioned prints ₹340 About ₹43
A 24-page magazine ₹769 About ₹96
A 27-card deck ₹1,069 About ₹134

That is less than one dinner on any of the trips they planned.

Expect them to try to pay their share. Organisers reflexively offer, and will ask how much it came to. Decide in advance who says no, and say it once, cheerfully. Group gifting maths →

When to give it

Their birthday, which is the occasion most likely to have been left unplanned.

After a big trip they organised, when the photographs exist and the whole group is still talking about it. Do it within a month, while everyone still has the photographs to hand. Group trip gift ideas →

When they hand over the role — a new job, a new city, or simply announcing that someone else can book the tickets next year.

If the book has to arrive by a date, order early. Order by Friday and it is designed, proofed, printed and dispatched on the coming Monday, provided you approve the proof when it arrives; from order to doorstep is 5 to 14 days. The person who ordered approves the final proof — which, for once, should not be the organiser.

What to avoid

A planner or calendar as the whole gift. It suggests their job is to keep organising you. Pair it with something that thanks them.

Letting them find out. They check group chats. Use a new one.

A public speech that embarrasses them. Organisers are usually happier behind the scenes; one line at dinner is plenty, and the book can say the rest.

Frequently asked

What do you give the friend who plans every trip? A record of everything they made happen, built from the group’s photographs with a line under each — or a trip they do not have to plan themselves.

How do we keep it a surprise from someone who notices everything? A new group chat without them, one person running it — photographs, order and money — and a cover story for why you need photographs of them.

What is the smallest version that still works? Thirty captioned prints of the trips they organised: ₹340 with delivery, about ₹43 each across eight friends.

What if they are also the one who takes all the photographs? Then they are in almost none of them. Look through the group chat for candids others sent, crop them out of the background of group shots, and take a few new ones at a dinner before you order.

Who should approve the final design? Whoever placed the order. The organiser is the one person who should not see it before it arrives.
