You also have something more useful than photographs: you know what actually happened. Which decision was hard, which supplier saved it, which day they nearly called it off. A record of the planning is the one wedding keepsake that only the planner can make.

The strongest of these: the venue before and after. Empty rooms on a site visit against the same rooms on the night. Every planner has both and nobody thinks to put them together, and it shows the couple what you actually did in a way an invoice cannot.

When to hand it over

Not on the day. They will not look at it, and it joins the pile of things being carried to a car at 2am.

Not the week after. They are travelling, or asleep, or dealing with a hundred thank-you messages.

Six to eight weeks later is the window. The professional photographs have arrived and been looked at, the event has receded, and a package landing when nothing else is landing gets full attention.

It is also, not incidentally, the point at which they start being asked for planner recommendations by their friends.

The business case, said plainly

A wedding planner’s pipeline is referral-driven, and a keepsake arriving two months after the event is a reminder at the moment referrals are being requested.

It is also cheap relative to the contract. At ₹499 to ₹899 against a wedding budget, this is the least expensive marketing available to a planner, and unlike an advertisement it is something the couple keeps and shows people.

Branding: your logo on the back page or the box, not through the object. It is their wedding, not your portfolio.

Doing it at volume

If you run twenty weddings a year, this is a programme rather than twenty projects.

Fix the format once. Same page count, same structure — the planning months, the venue before and after, the team. Only the content changes.

Collect as you go. The material exists in your working photographs and your project notes; the hard version is reconstructing it afterwards, and the easy version is a shared folder per wedding that you add to during the job.

Order in batches. Several couples at once rather than one at a time.

What to avoid

Duplicating the photographer. They have the day covered professionally. Your material is everything around it.

Anything that reads as an invoice. A record of how hard you worked is about you. A record of their wedding happens to show it.

Including the difficult parts they would rather forget. You know the family arguments. Leave them out — this is one of the few cases on this site where omitting the hard bits is the right call, because it is not your story to tell.

Sending on the anniversary. Well-meant and slightly presumptuous; the anniversary belongs to them.
