Bulk Personalised Gifts: How Ordering 100 Units Works

What changes between one unit and a hundred, where a bulk order actually runs late, and the point at which a volume vendor is the better supplier.

A hundred units is not a hundred separate orders, and it is not one big order either. It is one design decision applied a hundred times, with a hundred addresses attached — and almost everything that goes wrong at this volume goes wrong in the second half of that sentence.

The stages, and which one runs late

Stage Who Realistic time
Deciding the format You An afternoon
Collecting content You and colleagues 1–2 weeks
Collecting addresses You 1–3 weeks
Design and proof Us, then you approve Two to four days
Print, bind, dispatch Us Weekly Monday dispatch
Delivery Courier 2–5 days

The two bold rows are ninety per cent of the delay. Printing a hundred units takes barely longer than printing ten; collecting a hundred addresses takes as long as the slowest person on the list.

What is identical, and what varies

Identical across all hundred: the format, the paper, the layout system, the binding. One design is approved once.

Varies, cheaply: a name, a start date, one line per person. This is where a bulk order stops feeling mass-produced, and the unit cost barely moves because it is a text field rather than a new layout.

Varies, expensively: different photographs per person. That is a hundred design decisions rather than one, and it prices like a hundred individual books, because it is.

Settling which of those three you are asking for before requesting a quote is the single most useful thing you can do.

The proof works differently at volume

For a single order you approve your own book. For a hundred, you approve the template and one filled example — the layout, the paper, the way the varied field sits on the page.

Once that is signed off, the rest are generated against it and spot-checked rather than individually approved. That is what makes the volume possible, and it means the example you approve is the one that matters. Read it properly rather than replying “looks good”.

Addresses

Collect them three weeks out, in one place, in one format. Not by asking in a meeting.

Two practical notes: ask for a phone number alongside each address, because couriers in India call rather than buzz. And ask people to confirm rather than assume — home addresses change more often than office ones, and the list you have is usually a year old.

What the price does at volume

Per-unit cost falls with quantity, but less than people expect for made-to-order work, because the printing was never the expensive part — the design was, and that is a fixed cost spread across the run.

The practical shape: a hundred units of an 8-page magazine is not ten times the price of ten units, but it is not half the per-unit price either. Ask for a quote against a final quantity rather than a range.

Where we stop being the right supplier

Said plainly, because it comes up.

Above about a hundred units. A hand-design process is built for one book at a time. A volume vendor will beat us on unit price and turnaround at that scale, and we would tell you rather than take the order and stretch.

When every unit needs different photographs. That is a hundred individual books wearing a bulk order’s name, and it should be priced and scheduled as such.

When it is needed in ten days including collection. The printing fits. The gathering does not.

Timing

5 to 14 days from order to doorstep, 5 to 12 days to Delhi NCR, flat ₹70 per address. We dispatch once a week, on Mondays. For a bulk order, add the collection weeks in front of that — three weeks in total is a realistic plan, more around Diwali.

Frequently asked

How does a bulk personalised gift order work? One design is approved once, then applied to every unit with a varied field per person. You approve a template and one filled example rather than a hundred individual proofs.

What slows a bulk order down? Collecting addresses and collecting content. Printing a hundred units takes barely longer than ten.

Can each unit have different photographs? Yes, but that is a hundred design decisions rather than one and it prices accordingly. A varied name or line costs almost nothing extra.

How much cheaper is it per unit at volume? Less than for mass-produced goods, because the design is a fixed cost rather than a per-unit one. Ask for a quote against a final quantity.

What is the maximum you handle? About a hundred units comfortably. Above that a volume vendor is a better supplier and we will say so.
