What to Write in a Farewell Message

Farewell messages fail by being about the leaving rather than about the person. A structure, what changes by relationship, and what to write in a group book.

Most farewell messages are about the departure. All the best for your next chapter. You will be missed. Keep in touch.

The person leaving already knows they are leaving. What they do not know — and what they are genuinely looking for as they read forty of these — is what they were, to the people who stayed.

That is the entire adjustment. Write about the time, not about the exit.

The structure

Line Job
1 One specific memory or habit, named
2 What it meant, or what you learned
3 One line forward
4 Your name, and how they know you

Line one is doing all the work. I will always remember you reorganising the whole shared drive at 11pm before the audit is a farewell message. Best of luck for the future is a signature.

What “specific” looks like here

Generic Specific
You were always so helpful You answered my question about the export twice without making me feel stupid
Great working with you Our Thursday standups were the only meeting I did not dread
You will be missed The kitchen will be quieter and worse
All the best I hope Bangalore is ready for the hours you keep

Humour works far better here than in most message types, because farewells are read in a room with the person present, and the tone is celebratory rather than solemn.

What changes by relationship

A close colleague. Be specific and slightly emotional. This is the one they reread on the train home.

Someone senior to you. Thank them for one concrete thing they did for your career. Vague admiration reads as obligation; a named instance does not.

Someone junior to you. Say what they were good at, by name. A departing junior collecting messages from seniors is building evidence for their next role whether or not they say so.

Someone you barely worked with. Be short and honest about it rather than manufacturing a memory. We did not overlap much but the Delhi trip was better for you being on it is fine.

A friend leaving the city, rather than the job. Drop the professional register entirely. Nobody wants a LinkedIn recommendation from a friend. Gifts for a friend moving abroad

Writing in a group book

Different problem: thirty people writing on facing pages, and most of them will write the same four sentences.

Read what is already there before you write. The value of a group book is the range of things people noticed, and it collapses the moment everyone writes all the best.

Take a whole page if you have something. Half a page of specifics is worth more to the person than thirty signatures, and the blank space is not a problem to be filled evenly.

Date it. In ten years the book is only legible if the entries are dated and the names are full. Captions that still make sense in thirty years · How to collect messages from a group

What to skip

Anything about why they are leaving, unless they have made it public themselves. Farewell books get read by other people.

Promises you will not keep. We will definitely catch up every month is a sentence everybody recognises. I will be in Pune in March and I am going to message you is a real one.

Inside jokes that need the room. They read as noise to the person in ten years, and they exclude every other reader. Inside jokes that still work in print

Frequently asked

What should I write in a farewell message for a colleague? One specific memory, what it meant, one line forward, and your name. Write about the time you worked together rather than about the departure.

What should I write if I barely knew them? Say so briefly and name the one occasion you did overlap. That is better than an invented memory, which is always visible.

Is humour appropriate in a farewell message? Yes, more than in almost any other message type. Farewells are read aloud in a room and the tone is celebratory.

How long should it be? Three or four lines in a card. A full page in a group book, if you have something worth the page.

What should I not write? Anything about why they are leaving, promises you will not keep, and jokes that need the room to make sense.
