What to Write to a Teacher

Teachers receive thirty near-identical notes in one week. The one sentence that makes yours the kept one, and what parents should and should not write.

A school teacher receives something like thirty notes in the same week, and roughly twenty-eight of them say the same three things: thank you, you are the best teacher, we are grateful.

None of that is wrong. It is simply not information, and it means the notes are indistinguishable by the time they are read.

The one sentence that changes it: name something they did that they might not know you noticed.

The structure

Line Job
1 Address them properly, by name
2 The specific thing — an instance, not a quality
3 What changed because of it
4 Sign, and say which child if you are a parent

Line four matters more than people expect. A teacher with a hundred and twenty students cannot reliably match a surname to a face, and a note signed only from the Sharmas is a note they cannot place.

Instance, not quality

Quality Instance
You are so patient You explained the same step four times without ever sounding tired
You made learning fun The Tuesday you brought in the actual pendulum
You believed in her You told her she was a writer, and she has repeated it since
You are the best teacher Physics stopped being the subject he dreaded in October

The right-hand column is what teachers keep. The specifics are also the only part they can use — a named instance tells them which of the things they do is landing.

If you are the parent rather than the student

Two adjustments.

Report something from home. A teacher sees the classroom and almost never sees the result. She has been reading at night without being told to is information a teacher cannot get any other way, and it is the single most valued thing a parent can write.

Do not make it about the marks. A note built around a grade reframes a relationship as a service, and it reads that way even when the grade is good.

What to skip

Anything that sounds like a review. Teachers are assessed constantly. A note is one of the few pieces of writing about their work that is not an evaluation, and turning it into a rating removes the thing that makes it worth keeping.

Comparisons with other teachers. Even favourable ones — especially favourable ones.

Requests. A note attached to a question about next term’s section is not a note.

The end-of-year problem, and the fix

Everything arrives in one week, and yours is read in a pile.

Send it at a random point in the year instead. A note in September about something that happened in August is the one a teacher remembers, because nothing else arrives that month. This costs nothing and is the single highest-return piece of advice on this page.

Frequently asked

What should I write in a thank you note to a teacher? One specific thing they did, what changed because of it, and your name plus which child you are. Avoid general praise, which is what everything else in the pile says.

What should a parent write that a student cannot? Something observed at home. Teachers rarely learn what happens after the lesson, and it is the most useful thing a parent can report.

Is it better to give a card or a gift? The card, in most cases. Many schools restrict what staff may accept, and a specific note carries further than a small object. Gifts for a teacher at year end

When should I send it? Not in the last week of term, when thirty others arrive. Any other point in the year makes it the only one.

How long should it be? Four or five lines. One specific instance is worth more than a page of appreciation.
